Overview

The leasing funnel is a helpful tool for tracking the journey of prospects throughout the leasing process. It provides a visual representation of your leasing process, allowing you to view and manage the journey of your prospects from initial inquiry to signed lease.
To access your leasing funnel simply click on "Leasing" in the top navigation menu.


Leasing Funnel Stages

Your leasing funnel consists of several columns, each representing a specific stage in the leasing process. The available columns are as follows:

  • Recently Inquired: This column displays prospects who have recently expressed interest in a property.

  • Tour Scheduled: Prospects who have scheduled a tour of a property are shown in this column.

  • Tour Completed: After prospects have completed their property tours, they will be moved to this column.

  • Application: Prospects who have submitted their rental applications are displayed here. This column only appears if AppFolio integration is enabled, and currently needs to be updated manually.

  • Lease Signed: This column represents prospects who have signed the lease agreement. In order for a prospect to be found here, you either need to manually move them or make sure select the prospect when you take a property off the market (select "Rented" as the reason to stop showings, and then select the prospect).

Important Notes

It is essential to note that all columns will only show activity for properties currently on the market, with the following exceptions:

  • Recently Inquired: Due to the volume of inquiries you can receive, we only display new inquiries from within the last 7 days.

  • Lease Signed: This column will include properties not currently on the market, showing prospects who signed a lease in the past 30 days.


Managing Prospects

Adding a Prospect

While the prospect will be added automatically, you can also add a new prospect to your leasing funnel, by follow these steps:

  1. Click on the “+ Add Inquiry” button above the 'Recently Inquired' column.

  2. Enter the relevant information for the prospect, including their name, contact details, and the property. Optionally, you can also schedule a tour for this new inquiry.

  3. Click “Add” to add the prospect to the funnel.

Moving Prospects between Columns

A prospect moves through some steps automatically by completing specific stages, like moving from Recently Inquired to Tour Scheduled, or from Tour Scheduled to Tour Completed. However, the Application stage and the Lease Signed stage are always a manual process. You should move a prospect to these stages when they apply or when the lease is signed.

To do this, simply click and drag the prospect's card from one column to another on the funnel. This action updates the prospect's status accordingly.


Searching for Prospects

To search for a specific prospect within the Leasing Funnel, use the search box located above the funnel. Enter the prospect's name and the Leasing Funnel will dynamically update to display matching results.


Filtering

You can filter the funnel based criteria like team member who is the listing owner of the property, location, or property size. After selecting the desired values from the dropdown list, the funnel will show prospects associated with particular filter values.

  • Insights and Analytics: The Leasing Funnel provides you with valuable insights and analytics on your leasing activities. You can monitor conversion rates and gain a better understanding of your leasing performance to make data-driven decisions.
