Getting prospects to attend a tour

Overview

We're sending notifications and reminders to prospects, automatically. Here's a quick summary of what we're sending leading up to a scheduled tour:

  • Reminder: A reminder on the evening before the tour (when applicable).

  • Confirmation Request: A request to confirm their attendance is sent 4.5 hours before the tour is scheduled to start. We are waiting for their confirmation up to 2 hours before the tour, with a last reminder 15 minutes before we're about to cancel, or else we send them a cancellation message. (Timing varies based on the location)

  • Another Reminder: A final reminder is sent 45 minutes before the tour starts, similar to the example below:

Hey! You've got a tour coming up. Our Agent Lisa is on the way. For directions, details, and the agent's phone number: showdigs.co/IX7zpK.

You can certainly follow up with leads manually as well. Use the Messages inbox, Leasing board, or click on a prospect's name anywhere in Showdigs to be brought to a page where you can send them a text message.


What does the confirmation flow look like?

You'll notice a confirmation request is sent automatically, 4 hours and 30 minutes before the tour is scheduled to begin. Here, we'll ask the prospect to reply to the message with a '1' to confirm their attendance. They'll also have the option to click a link to view their tour details, and can reschedule or cancel the tour from there as well.

If the prospect doesn't respond, doesn't reschedule, and doesn't cancel, we'll send another reminder that we're waiting for their confirmation. This comes 2 hours an 15 minutes before the tour is scheduled. If they don't reply by 2 hours before their tour, we'll automatically cancel the tour.

Manual Confirmation

You also have the ability to confirm a tour for a prospect. If you're confident they'll show, maybe you just spoke with them on the phone, you can go to their tour in Showdigs and confirm their attendance for them.

Once this happens, we'll skip over the whole flow asking the prospect if they'll attend, and the tour will be ready to go.


What if they confirmed but still don't show?

For a self-showing or showing hosted by someone on your team, nothing will happen. You'll see a "No Show" tag on the tour in Showdigs and can follow up with the propsect to learn more.

If it was scheduled with a Showdigs agent, you will be charged for the no show or any cancellation within 30 minutes of the tour's start time. For both cases, we've already dispatched an agent and they've committed their time to the tour. We'll charge you less than a full tour (prices vary by location), but we want to make sure they're compensated for that time.
