AppFolio integration
Overview
The primary function is to keep the Showdigs inventory aligned with the inventory in AppFolio. This means that new properties that are added to AppFolio are automatically created in Showdigs, and updates made to properties in AppFolio are automatically made in Showdigs. (We do not yet delete properties from Showdigs when they’re deleted from AppFolio).
We are also able to synchronize guest cards from AppFolio into Showdigs, and can upload completed condition reports and completed tour details into AppFolio.
How do I set it up?
Step 1
In order to set up the integration, you will need to be a Presidential user of AppFolio, which gives you access to the AppFolio Stack™. If you are not yet a Presidential user, please upgrade your account before proceeding.
Log into your AppFolio database.
Click Add Functionality in the top right-hand corner and select Integrations.
Click Get AppFolio Stack™ Premium.
Enter your name as an Authorized Signer, and click Activate AppFolio Stack™ Premium.
Step 2
Initiate the connection to Showdigs from AppFolio. You can view this step, with some additional screenshots, in this AppFolio Help Center article.
In AppFolio, click your name in the top right-hand corner.
Select General Settings from the dropdown menu, and click Manage AppFolio Stack™ Integrations.
Scroll down to Showdigs, click the drop-down arrow, and select Manage Connection.
Click Setup Connection in the Connection Settings block.
Select the properties to be shared with Showdigs. Each of these properties will be created and synchronized into Showdigs. We recommend limiting your selection to only properties that you are actively managing to keep the information in Showdigs relevant to your current book of business.
Click Save.
Check the boxes indicating that an agreement exists with Showdigs and the terms of agreement have been reviewed and approved for this connection.
Click Enable Connection.
Make sure you have enabled the connection AND shared property groups. If you haven't done both, we won't be able to finalize your connection.
Step 3
Once the connection is enabled, our team will receive a notice from AppFolio with your connection details. We will add those to your Showdigs account, and send you an email to confirm that your account is ready.
Click on the "Start Importing" button in the email to go to Showdigs.
Log in if you haven't already, and click "Activate Integration." You will have an opportunity to verify the properties you shared and start the initial import.
Once the initial property and unit import is complete, you will receive an email letting you know that the initial import has completed and your integration is fully enabled.
Step 4
If you are new Showdigs customer, you can skip this step. If you are an existing customer, who is using our legacy integration, you will no longer need to send inquiries to tour@showdigs.com.
With that in mind, you can follow these steps to remove the Showdigs email address from your AppFolio configuration.
Log into your AppFolio account.
Click your name from the top right of any page, then select My Settings.
Scroll down to the Vacancy Posting Contact Settings section.
Remove the tour@showdigs.com email address.
Scroll to the bottom of the page and click Save.
If you have Allow vacancy posting contact information to be set on the property page enabled, please also follow these steps within AppFolio:
Go to the property page for one of your properties.
Scroll down to find Vacancy Posting Contact Info.
Remove the tour@showdigs.com email address.
Click Save.
Unpost and repost your listing.
Repeat steps 1-5 for all relevant properties.*
* You can either update all properties right away, or update properties as they are activated. If you choose the latter, please make sure to update the Vacancy Posting Contact Info as properties are listed.
What does it do?
Properties & Units
Properties and units that are created in AppFolio, and connected to Showdigs, will be created and updated in Showdigs automatically.
Property Specs
The integration will always…
… add new properties and units to Showdigs when they’re added to AppFolio. When a new property is added, the integration will always get as much information as possible (address, floor plan, images, descriptions, etc.).
… update basic property details in Showdigs when changes are made in AppFolio. The following are always kept in sync with AppFolio:
Address
Unit name
Floor plan (bedrooms, bathrooms, square feet)
Rent
Rent is kept in sync to ensure that PMs are in compliance with fair housing guidelines, and all ads for the property contain the same rent.
These fields will always be visible but disabled, so PMs can see the values but cannot edit them in Showdigs.
Application Link
Once the integration is enabled, there will be a separate setting to control how we handle the Application Link. This allows you to explicitly choose if you'd like to sync the application link from AppFolio or if you'd like to provide a default link in the Settings.
If you choose to always sync the link from AppFolio, the link will always be updated in Showdigs when it’s updated in AppFolio, and the field will be disabled/uneditable in Showdigs.
Listing Details
Ads should be built in AppFolio and syndicated from AppFolio. When a property is ready to be shown, you should also Post to Website in AppFolio, which will give Showdigs access to the listing related information noted below.
While you will be provided an extremely simple interface in Showdigs, we are still gathering the following information from AppFolio to help us provide a rich experience for prospects.

Inquiries & Guest Cards
Every time an inquiry is added to AppFolio, a matching inquiry will be created in Showdigs. This will occur without the need for any special email addresses or other process from you.
Every time a tour is completed in Showdigs, a Guest Card will be created in AppFolio.
Condition Reports
Every time a condition report is completed in Showdigs, it will be attached to the relevant property or unit in AppFolio.
Periodic reports, specifically, will also be attached to the relevant AppFolio tenant, so you can find them in two places in AppFolio.
If you do not wish for this to occur, you can disable the condition report sync from the Settings > Integrations > AppFolio Import area by setting "Condition report destination" to "Disabled."
How long does it take to synchronize?
Properties & Units
For property and unit details, updates made in AppFolio will take up to 1 hour to be updated in Showdigs. However, you can always click Sync Now on a specific unit, or Sync AppFolio on the Properties page to trigger an immediate update.
Inquiries & Guest Cards
Guest cards created in AppFolio will be created in Showdigs within 5 minutes.
Once a tour is completed in Showdigs, it will immediately be added to the Guest Card in AppFolio.
Condition Reports
If enabled, condition reports will be uploaded to AppFolio immediately after they're completed in Showdigs.
Best practices
Addresses & Naming
Property Type: "Single-Family"
We recommend only using "Single-Family" when the property is truly a single family home for home. In this case, simply enter the address and name in AppFolio.
However, if you are managing a single unit in a property, and have added it to AppFolio as a "Single-Family" property, please make sure the unit name/number is entered in the "Address 2" field. This will ensure that the address and name in Showdigs is accurate.
Property Type: "Multi-Family"
The property address should be entered with the basic address for the building.
The unit(s) should include the same basic address, with the unit name/number entered either as the "Unit > Name" or the "Unit > Address 2." This will ensure that the address and name in Showdigs is accurate. (If both Name and Address 2 are filled in, we will use the shorter of the two as the unit name in Showdigs.)
While we don't recommend configurations where the property's Address 1 does not match the unit's Address 1 in AppFolio, we do support it. In those situations, the unit's entire Address 1 will be used as its name in Showdigs.
Share properties with Showdigs
Through the integration configuration in AppFolio, you have the ability to share properties and property groups. These are the only properties Showdigs will have access to, so make sure all of your current properties are shared.
If you are missing a property in Showdigs, make sure it is shared in AppFolio.
Post to Website
When a property is ready to be listed, makes sure it is Posted to Website in AppFolio. This will provide access to basic details (bed, bath, size), images, and showing related information (rent, availability date, pet policy).
Properties that are off the market should be Unposted from Website in AppFolio, which will ensure we are able to complete a quick, accurate sync of property details.
Troubleshooting
Why isn't my information synchronizing?
Problem
I see new guest cards in AppFolio, but not in Showdigs.
I updated information for the property in AppFolio, but don't yet see it in Showdigs.
I completed a report in Showdigs, but can't find it in AppFolio
Solution 1: The sync cycle hasn't run yet
The synchronization can take some time depending on the update being made. Please see this article for more information.
Solution 2: My property isn't connected to AppFolio
When you look at the property page, you should be able to see a light blue, "AppFolio" tag in the header. If this is present, the property is connected and all information should synchronize.
If this is missing, the property is not connected. Typically, this is either due to the property not being shared through AppFolio, or a duplicate property (where a property existed in Showdigs before the integration was enabled, and the system wasn't able to match it so it created an additional property). You should be able to find duplicates by using the search bar on the Properties page.
Why isn't the application URL appearing when I'm activating a property?
Problem
When starting showings for a property, the application URL is not automatically filling in.
Solution
First, remember that the application URL will only prefill from AppFolio if you have enabled Settings > Showings > "Sync application URL from Appfolio". The other prerequisite is that your property needs to be Posted to Website in AppFolio. This makes the application URL available to us.
Workaround
If all of the settings look good, but the application URL still isn't syncing, you can still manually set the application URL.
Go to Settings > Showings and disable "Sync application URL from Appfolio. (This option is open to account owners only)
Start showings for your property.
When you reach the step with the application URL, you will see that the field is now editable, so you can manually set the URL and continue with the activation.
Enable again "Sync application URL from Appfolio", for future activations.
