Connect your calendar
Overview
The calendar integration is designed to streamline the scheduling process, ensuring that your calendar remains accurate and free from double bookings:
After connecting your calendar, conflict checking is automatically enabled. This will check your calendar for existing events before the prospect is shown available tour times.
When a new tour is booked, an event is added to your calendar along with all the relevant prospect and property information
Connecting Your Calendar
Integrating your calendar with Showdigs is a straightforward process that takes just a few clicks. This integration supports both Google and Outlook calendars, allowing you to choose the provider that best suits your needs.
Steps to Connect Your Calendar
Follow these steps to connect your calendar:
Start the Process: on your profile page, click on the 'Connect my calendar' button.
Choose Your Provider: click on the relevant provider bottom.
Log in to your calendar:
Microsoft users:
Enter your Outlook email and password, then click the 'Log in' button.
Gmail users:
You will see either a login screen or a list of Google accounts. Click on the account you wish to use for the calendar connection.
You may be presented with both personal and work accounts. We recommend selecting the account that has your scheduled events during your work days.
Note: We work with a technology partner called Nylas to power our calendar integration. You may see references to Nylas during the connection process.Grant Permissions: you will be prompted to grant Showdigs access to your calendars. It is essential to check all permission boxes and click 'Continue' or 'Allow' to complete the process.
Other:
Select "View all providers" and follow the instructions in the app to get connected.
Once connected, you are all set! Wait for your first scheduled tour to see the integration in action.
Conflict Checking
Upon connecting your calendar, conflict checking will be automatically enabled. This feature ensures that prospects only see available tour times based on your calendar and the showing schedule for the property.
In addition to preventing bookings during your unavailable times, a 30-minute buffer is applied before and after each tour to allow for travel time. Note that this buffer does not apply when scheduling tours for the same property you are already visiting, even if it is a different unit.
Example of Available Time Slots
For instance, if you have a property showing schedule from 9 AM to 5 PM on Mondays, and you have a tour at a different property at 10 AM and a dentist appointment from 1 PM to 2 PM, the available time slots for prospects would be:
9:00 AM - 9:30 AM | Available |
9:30 AM - 10:00 AM | Unavailable - Buffer time |
10:00 AM - 10:30 AM | Unavailable - Other tour scheduled |
10:30 AM - 11:00 AM | Unavailable - Buffer time |
11:00 AM - 11:30 AM | Available |
11:30 AM - 12:00 PM | Available |
12:00 PM - 12:30 PM | Available |
12:30 PM - 1:00 PM | Unavailable - Buffer time |
1:00 PM - 1:30 PM | Unavailable - Dentist appointment |
1:30 PM - 2:00 PM | Unavailable - Dentist appointment |
2:00 PM - 2:30 PM | Unavailable - Buffer time |
2:30 PM - 3:00 PM | Available |
3:00 PM - 3:30 PM | Available |
3:30 PM - 4:00 PM | Available |
4:00 PM - 4:30 PM | Available |
4:30 PM - 5:00 PM | Available |
Note: If you have enabled Showdigs as a backup agent, all tour slots will show as available, allowing prospects to book with you for any available slots on your calendar. Those timeslots will be assigned to a Showdigs agent.
Event Management
Tours info
Each time a tour is scheduled for a team member with a connected calendar, an event will be created on their calendar containing essential information about the tour, including:
The location of the property
The time and date of the tour
The prospect's name and contact information
A link to the property page within Showdigs
A link to modify the tour within Showdigs
The Showdigs support contact information
Managing Events
It is crucial to make all changes to tours within the Showdigs platform, and not on your calendar directly. Updating, changing, or deleting tours on your calendar directly will have no impact on the tour within Showdigs, hence the prospects would not be notified about it.
You can manage a tour and change the event from two locations:
The link to the tour in the calendar event's description field, which will redirect you to Showdigs platform.
In the 'Tours' page of your Showdigs account, find and click on the tour to make adjustment.
Common Scenarios
Here are some common scenarios regarding event management:
